If the tour and date you have your heart set on is full or out of your preferred room type, you can be placed on the waitlist if it's before the Tour Finalization Date (100 days before departure). This article will outline how the waitlist process works and what you can expect if you're on the waitlist for a tour.
At the time of booking a tour, you'll be informed if the tour you're interested in has a waitlist. If you choose to be put on the waitlist, rather than switching to a different date, we'll collect your tour's deposit. (This is refundable if we can't confirm your spot.) If other travelers cancel causing a spot to open for you, we'll be in touch.
Reasons for being waitlisted
There are two reasons why you may be waitlisted on a tour. First, if the tour is full and there are no spots left. Second, if the tour has run out of your specific room type, like private rooms. In both cases, to be confirmed other travelers will need to cancel, causing spots to open.
If we can confirm your spot
We monitor open spots on tours that have a waitlist consistently throughout the week. If we can confirm you off the waitlist, we'll send you an email letting you know. If you no longer want to join the tour, you have 72 hours from when we send you the confirmation email to let us know. After 72 hours, your spot on tour will be locked in and cancellation fees will apply. If a spot opens up after the tour's final payment date, you must pay for your tour in full in order to confirm your spot.
Once you're confirmed, we ask that you log in to your online account to accept Terms & Conditions, enter any missing traveler details, and make any payments that are due. While on the waitlist, you won't be able to access that tour in your online account until your spot is confirmed. Instead, you'll see a banner with your tour's name under the "My tours" section of your account. The banner says "You’re on the waitlist! This tour is currently full. If space opens up, our team will reach out."
If we can't confirm your spot
The latest a traveler can be waitlisted on a tour is 55 days before the tour's departure date. If a spot doesn't open up by that deadline, we'll reach out to you and you can either rebook to a different tour and/or date or receive a refund of your deposit.
If you have multiple people in your travel party, there must be spots open for everyone to be confirmed on the tour at the same time. It's not possible to confirm travelers one at a time, unless they're comfortable traveling alone if spots don't open up for their traveling companions.
